Overview

This section will help you learn the Webex Meetings interface and what you can do inside the application.


Start a Meeting

The Start Meeting button will instantly create a meeting in your personal room and join it. The outline for a personal room link is:

Join a Meeting

The Join Meeting box allows you to instantly join a meeting by entering a host's room ID or room link. 

The outline for a personal room link is:

Navigating the Meeting Interface

After joining a meeting, you will get get a new window, the Cisco Webex Meetings interface. This is where you will see and interact with everyone in the meeting. We will explain the buttons from left to right at the very bottom of the screen. 

Audio and Video Connection

The phone and video icon will bring up the audio and video connection settings. This is where you can change and correct any audio settings, such as microphone, speakers, as well as webcam video. The top dropdown in the audio connection section will allow you to choose how you would like to hear the audio of the call. Selecting "I Will Call In" will display the meeting phone number, access code, and attendee ID you will use when calling in for audio.

Share Content

The up arrow icon will allow you to share your screen or specific windows/monitors with the meeting.

Recorder

The red recording icon will allow you to record the meeting for download at a later time. Only the meeting host or creator will get the file once the meeting is complete. Record in cloud will email the host a link to the file once, while record on my computer will do just that.

Participants

The person icon will list all the participants connected to the meeting. From here you can mute, kick, and set users to presenter or host. Anyone can local mute a person, but only the host can meeting mute a person for everyone. This interface also lets you quickly mute and unmute everyone as the host. 

Participant

The participant role is the basic role assigned to anyone who joins a meeting. This role has basic permissions to interact with the meeting. Anyone can talk and use their video camera.

Presenter

The presenter role is responsible for providing content during a session. Only one person can be a presenter at a given time. This person is located by the webex meetings icon next to their profile picture. They have the following permissions:

  • Share documents, presentations and whiteboards.
  • Save documents, presentations and whiteboards in the content viewer.
  • Share applications, Web browsers and screens/desktops.
  • Share multimedia Web content.
  • Grant privileges to attendees/participants.
  • Answer chat messages in a meeting.
  • Save chat messages to a file.
  • Record a meeting.

Host

The host is by default the creator of the meeting, but can be easily given or set to others for hosting purposes. A host is responsible for coordinating and controlling a meeting. Only one person can be a host at any one given time.

They have the following permissions:

  • Schedule and start a meeting.
  • Invite attendees.
  • Invite attendees to a meeting in progress.
  • Control audio functions for all attendees/participants.
  • Designate a presenter.
  • Reclaim the presenter role or transfer from one attendee/participant to the next.
  • Assign the host role to another attendee/participant and reclaim the host role, if necessary.
  • Restrict access to a meeting.
  • Record a meeting.
  • End a meeting.

Chat

The speech bubble icon is will bring up the chat window. From here you can chat with everyone in the meeting, or just specific people

Extra Options

Notes

Notes are messages that are only viewable by you. You can choose to save these to a text file after or during the meeting.

Polling

Polling is a cool feature that allows you to send a very customized poll to everyone in the meeting, as well as see the responses/results for it.

Other

As the host you can also lock the meeting, invite and remind, and copy the link to join the meeting.

Navigation Menu

The navigation menu allows you to switch between your default home view, calendar view, and recordings. 



Settings

The settings button will give you a new menu where you can change various settings for the application, as well as sign out.

Devices

The device button is how you will connect a device to your webex teams application for use such as meeting boards.
